As the Recovery Program Manager for the 350+ Member Municipalities ("Members") in the Florida Municipal Insurance Trust ("FMIT"), it is our responsibility to ensure that FMIT Members mitigate risk, reduce liability and control costs associated with loss recovery while increasing the quality and consistency of recovery products and services. We also understand that recovering municipal losses poses its own challenges for vendors, especially when it comes to receiving payment for products and services in a timely manner.
To this end, FMIT & Synergy have implemented a Qualified Vendor Program (QVP) program for companies that supply products and services to FMIT Members on FMIT-approved losses. This program allows Members to access products and services from qualified vendors and ensures that vendor payments are not delayed for products and services rendered on all losses covered by FMIT. This program is voluntary for all FMIT-Members and is not a government-sponsored program, but a private program between the FMIT, Synergy ID LLC and participating Vendors.
Emergency Response Vendor Registration Process:
- FMIT Members use simpliCity insurance asset management software to manage their insured assets, find vendors, submit claims & manage projects.
- FMIT Members send their current vendor list to Synergy ID in order to qualify the vendors and put their information and documentation into simpliCity.
- Vendors are contacted by Synergy ID and given details of the program.
- Vendors who want to participate are sent to the Vendor Registration Form on the simpliCityfl.com Web site.
- Vendors enter their information and pay the registration fee in order to allow Synergy ID to review their information and qualify their organization.
- This information includes:
- state, county and national licensing documentation
- insurance documentation (including listing of FMIT Member as indemnified party)
- W-9 and other payment information allowing FMIT/Synergy to expedite payments
- specific licensing for services, such as Asbestos & Mold Remediation
- Synergy receives the information and reviews it for accuracy.
- If the documentation is accurate and up-to-date, Synergy adds the Vendor to the simpliCity Qualified Emergency Recovery Vendor list.
- If more or updated documentation is necessary, Synergy works with the Vendor to acquire the data and approve the Vendor.
When a Loss Occurs:
- FMIT Members use simpliCity asset management software, developed by Synergy ID to report the loss to FMIT.
- FMIT sends initial damage assessment team to investigate loss.
- Synergy Recovery Resources as FMIT Recovery Program Manager is contacted to manage loss investigation and recovery as well as clerk-of-the-work duties.
- If loss meets claim threshold and other requirements, FMIT approves loss.
- Synergy accesses qualified Emergency Response Vendors in simpliCity for Member's area and contacts vendors on the list for potential work.
- Synergy Recovery Resources has option of providing up-front payments or progress payments rather than vendor waiting until the end of the recovery.
- Emergency Response Vendors provide products & services.
- ERVs are eligible for upfront material deposits and progress payments paid by Synergy and/or FMIT on approved work.
